Senior Registrar, Archivist, Administrator for the Anderson Collection
In 2014, Stanford will become home to the core of the Anderson Collection, one of the world’s most outstanding private assemblies of modern and contemporary American painting and sculpture. The Anderson Collection Senior Registrar reports to the Director of the Anderson Collection at Stanford University and is the sole Registrar. His/her primary role is to organize, manage, and care for the museum’s permanent collection. Profession-wide, museum principles and standards are used as guidelines in handling, exhibition, and preservation of art collections. S/he works closely with the Director and preparation staff, as well as with exhibition and preparation staff at the Cantor Arts Center, guest curatorial staff and students in addition to conservators, donors, institutional and private lenders, shippers and craters, insurance providers, and customs brokers.
During the initial six months, responsibilities will be keyed towards the development and implementation of a collections database system, development of registration policies and procedures, and the planning and implementation of the Collection’s move to a new state-of-the-art facility at Stanford. Coordination with staff at the Anderson Collection, the Cantor Arts Center and external consultants is anticipated.
The Senior Registrar, has the following specific responsibilities including but not limited to:
1. Permanent Collection
Plan, implement and coordinate logistics for all incoming works and future acquisitions to ACSU including packing, shipping and insurance of objects shipped to and from donors, vendors and other institutions or university departments. In collaboration with Director, Preparator, university colleagues and outside consultants.
Develop and maintain museum’s collection in Embark, or other database system as determined, and in paper records. Establish records for new accessions, modify and update data for existing records, resolve discrepancies and inconsistencies in collaboration with Director or other designates, as necessary.
Establish and maintain records, forms, and legal documents associated with the incoming permanent collection works and new acquisitions made by gift, purchase or bequest. Inspect, generate receipts, document, and arrange for secure storage of all incoming objects. Collaborate with Director to assure thorough documentation of objects entering the collection. Prepare Deeds of Gift and monitor progress of tax documents with donors and University officials in the offices of Development and the Controller.
Create, update, and maintain physical files and database records, for objects in the permanent collection.
Physically number objects with ACSU accession numbers. Determine appropriate numbering medium for object type.
Respond to internal and external requests for collection, reproduction and donor information. Provide summaries to Director and guest curators for use in surveys, reports, and publications.
Instruct and supervise students and assistants who assist in handling, measuring and numbering objects; maintaining object files; gallery checks, data entry, etc.
2. Collections Storage
Maintain objects storage; monitor storage projects and maintain storage calendar.
Assist preparator in rehousing and restorage of objects.
Coordinate logistics for visiting conservators, and consult with the Director, Art + Science Learning Lab at the Cantor Arts Center.
Working closely with the Director, schedule and coordinate access to object study for university constituencies, guest curators and colleagues.
3. Resource Center
Establish and maintain a catalog system and control of library and archive materials.
Working closely with the Director, develop policies and procedures for responding to internal and external requests for information and access, determine appropriate access, and facilitate access to research and related materials.
Maintain calendar, set schedules and facilitate admittance for exhibition-related and academic programs, events and the public, in conjunction with the Anderson Collection Director of Engagement.
4. Inventory Control
Record all location changes and location history for in-house object moves, incoming and outgoing loans, exhibitions and rotations; investigate location problems; work closely with preparator to locate objects; maintain object location paper records; regularly perform objects check of works installed and in storage.
5. Gallery Rotations
Coordinate gallery rotations. Work with Director, preparator and guest curators to implement timeline. Generate and distribute checklists and gallery layouts.
Create label tombstones for all rotations and ACSU organized exhibitions; create and maintain exhibition records in Embark, or database system as determined.
Coordinate the organization of assigned rotations independently.
6. Loans
Coordinate logistics of incoming loans and exhibitions, including generating loan agreements, corresponding with lenders, coordinating unpacking/packing and shipping, overseeing incoming and outgoing shipments, condition reporting, and assisting couriers.
Coordinate logistics for loans outgoing for conservation.
Perform condition checks and prepare written condition reports.
May travel as courier to accompany valuable objects in transit.
7. Administration
Serve as database administrator. Assist and train Director, guest curators and colleagues on the computer system; help design reports and troubleshoots problems.
Process purchase requisitions and invoices for the Anderson Collection; set up vendors and work with contracts as needed
Process reimbursements and financial transactions
Assist with coordination of events. Coordinate logistics, including arrangement of facilities, catering, janitorial services, furniture rentals, AV and tech support.
HR administration as it pertains to the staff, lecturers, students, visitors and temporary/casual employees.
Qualifications
A four-year college degree in Art History or related field is required; an advanced degree (M.A.) in Art History, Museum Studies, Library Sciences or related field is desired.
Minimum of 5-7 years museum registration experience.
Demonstrated knowledge of professional museum practices including registration methods, safe object handling and art preservation, packing and shipping, insurance, storage of art, security measures, and object numbering techniques.
Knowledge of and demonstrated skill using collection management databases, Microsoft Word and Excel; experience working with Embark is strongly desired.
Must have excellent interpersonal, organizational and communication skills.
Ability and willingness to maintain high level of accuracy and attention to detail is essential, as is the ability to work well under pressure with a wide variety of museum professionals, vendors, students, docents, and others
